How To Prepare A Clear RFQ?

A clear RFQ helps price review and bulk planning become more accurate. A vague request such as “travel bag with logo” can lead to wide cost differences because travel bags vary greatly in material, size, pockets, hardware, logo method, packing, and delivery needs.

A useful RFQ should include:

Reference photo, sketch, or existing sample.

Bag type.

Outer size.

Target capacity.

Travel use.

Material preference.

Color plan.

Logo file.

Logo method if known.

Logo size and position.

Quantity per design.

Quantity per color.

Laptop size if included.

Shoe pocket need.

Wet pocket need.

Trolley sleeve need.

Shoulder strap or backpack strap need.

Hardware preference.

Packing method.

Label or barcode needs.

Delivery date.

Destination.

A strong RFQ may look like this:

“35–40L travel backpack for 3-day business trips, 15.6-inch laptop section, shoe pocket, wet pocket, front organizer, trolley sleeve, one logo patch, 1000 pcs, individual polybag, delivery to Los Angeles.”

Another example:

“30L weekender duffel for employee travel gifts, 600D polyester, black body, one-color front logo, removable shoulder strap, simple front pocket, 2000 pcs, hangtag and carton marks needed.”

These requests are easier to review because they show size, use, structure, quantity, packing, and delivery direction. If the final structure is still open, the intended packing list can help: clothing, laptop, shoes, toiletries, wet items, gift contents, or travel accessories.

A clear RFQ also helps avoid unfair comparison. One quote may include 600D fabric, reinforced base, thick straps, custom pullers, and retail labels. Another may use lighter fabric, basic straps, and bulk packing. Without complete specs, the numbers may look different but not truly comparable.

A practical RFQ saves time because it helps the project move from rough idea to useful sample review faster.
